Pull up your chat history and count: what share of inbound messages are the same five questions? Opening hours, location, prices, delivery, availability — that's the automation zone, where an instant accurate reply beats a human answer that arrives after lunch. Complaints, special requests and anything emotional stay human, always. The bot's job is to clear the routine so your team has time for exactly those.
Designing rules that actually match.
- Think in keywords customers use, not words you use — people write "open?", "timing", "دوام" — not "operating hours". Feed rules real phrasings from your chat history, in both languages your customers write.
- Order rules by priority — evaluation should stop at the first match, so put specific triggers above general ones and a friendly catch-all at the bottom.
- Answer, don't menu — reply to the question asked. Forced button-mazes are why people hate bots.
- Always leave the exit — every automated reply should make reaching a human effortless, and unmatched messages should route to your team, visibly, not vanish.
Respect the 24-hour window.
One WhatsApp API rule trips up every new team: free-form replies are only allowed within 24 hours of the customer's last message. Outside that window, only pre-approved templates can be sent.
